The information we collect about you
‘Personal information’ means any information about an individual from which they can be identified. The personal information we collect allows us to provide services to our customers and users of our services. The primary function of the information we ask for is to meet the requirements set out by the Animal Welfare Act 2006. It also helps us to better understand our members and service users.

We strongly believe your personal information needs to be safeguarded and protected. As long as you share it with us, we are its guardian. We take steps to collect only what is necessary and we do this for different purposes, but all with one goal in mind: to provide service users with a professional service. Here is a list of the type of personal information we currently use:


• Identity Information you give to us – this will include your full name and title, (if relevant), postal address, phone numbers and email address (if relevant).
• Emergency Contact Details This includes an emergency contact person in case we cant get hold of you and there is an issue with your dog, their phone number and address
• Transaction History of your interactions with us. This will include any purchases details, the services you request, health history and welfare notes
• Technical Information we can confirm what browser you are using, the internet protocol (IP) address and computer operating systems that are being used, your login data and other technology on the devices you use to access our website.
• Marketing and Communications Preferences for receiving information from us about our services, membership updates, volunteering and fundraising activities (including ways to donate) and how you would like us to communicate with you.


If you don’t want to share your personal information with us, you don’t have to. We will only keep any personal information we are required to keep in accordance with legal requirements.

It is important to us that the personal information we hold about you is accurate and up-to-date. For customers, we normally check this each year when you complete your application form. Please tell us if there are any changes during your relationship with us. You can do this easily via our website, or by getting in touch with us.

Direct interactions. You may give us certain information (e.g. your Identity Information, Contact and Financial Details) by filling in forms (in person or via our website) or by corresponding with us by post, phone, email or otherwise. This includes personal information you provide when you:

Technical Information from analytics providers such as Google based outside the EEA; advertising networks such as Facebook-based outside the EEA; and search information providers such as Google based outside the EEA.

The Dawg House Day Care & Boarding will use your personal information only when the law allows and we have taken steps to ensure we respect your privacy. We will never sell or pass on your details to other organisations for their own purposes.

• comply with our legal obligations such as our safeguarding duty where we have concern about your dog

• send out reports on your dogs day care activity

We have put in place appropriate security measures to prevent your personal information from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. They will only process your personal information on our instructions and they are subject to a duty of confidentiality.

We have put in place procedures to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach where we are legally required to do so.

How long will you use my personal information for?
Only for as long as necessary to fulfil the purposes for which we collected it, including for satisfying any legal, accounting, or reporting requirements.
Personal data that we process for any purpose or purposes shall not be kept for longer than is necessary for that purpose or those purposes.

– In some cases it is not possible for us to specify in advance the periods for which your personal data will be retained.

 

In such cases, we will determine the period of retention based on its necessity for the proper administration of our website and business and/or the performance of a contract between you and us and/or taking steps, at your request, to enter into such a contract.

This may also apply where you have successfully exercised your right to ‘object to processing’ (see below); where we may have processed your information unlawfully; or where we are required to erase your personal data to comply with local law. Please note however, that we may not always be able to comply with your request of erasure for specific legal reasons which will be notified to you, if applicable, at the time of your request.

• withdraw consent at any time where we are relying on consent to process your personal information. However, this will not affect the lawfulness of processing carried out prior to this withdrawal. No fee usually required


There is no fee to access your personal information (or to exercise any of your other legal rights). However, we may charge a reasonable fee if your request is clearly unfounded, repetitive or excessive. Alternatively, we may refuse to comply with your request in these circumstances.

What we may need from you


We may need to request specific information from you to help us confirm your identity and ensure your right to access your personal information (or to exercise any of your other rights). This is a security measure to safeguard your personal information. We may also contact you to ask for further information in relation to your request to speed up our response.

Time limit to respond
We try to respond to all legitimate requests within one month. Occasionally it may take us longer if your request is particularly complex or you have made a number of requests. In this case, we will notify you and keep you updated.
